A practical framework for evaluating software based on your actual PG operations.
Start with your operating model
Write down your number of properties, beds, room types, staff, rent cycles and the systems you currently use. This prevents a demo from becoming a tour of features you will never use.
Test the resident lifecycle
Ask the vendor to demonstrate a new resident, room assignment, room change, rent cycle and move-out using a realistic example.
Test the money workflow
Check how dues, payments, outstanding amounts, refunds or adjustments and reports are represented. If payments are integrated, ask about reconciliation and settlement handling.
Test occupancy
Use a property with different room types and shared beds. Confirm that the availability shown to your staff matches what actually exists.
Ask about data and access
Clarify user roles, exports, backups, support, integrations and what happens if you stop using the platform.
Evaluate total value
Compare subscription cost with the operational time and errors the software can realistically reduce. Do not assume a higher feature count means higher value.
